Receptionist Thainstone House, Inverurie, Inverurie, Aberdeenshire, AB51 5NT

The opportunity has arisen for the right candidate to join our Front of House team as a Receptionist in a hands-on customer facing role, providing our guests with exceptional customer service while acting as the first line of contact and the friendly face of the hotel. The role will assist an existing reception team and will include a combination of early and late shifts.  We really care about our guests so the most important responsibility is to provide excellent customer service.

Candidate Attributes:

  • Clear and confident telephone manner
  • Confident in using hotel reservation systems
  • Passion for delivering high levels of customer satisfaction
  • Effective at multitasking in fast paced environment whilst always maintaining a calm approach
  • Computer literate with proficiency in Microsoft Office programmes, email software, etc
  • The ability to prioritise duties
  • Remain calm, patient and polite if receiving customer feedback, with high levels of personal confidence to deal with customer complaints/issues
  • Confident, outgoing personality, with excellent communication skills

Candidate Responsibilities:

  • Front desk check-in and check-out procedures
  • Meet and greet all customers in a friendly and timely manner, in person and on the telephone
  • Process daily monetary transactions and accounts accurately and efficiently
  • Prepare bills and take payments
  • Promptly action all guest messages and requests
  • Use of booking system to create, update and amend guest reservations. Processing advance deposits and payments as required
  • Maximise all opportunities to upsell the facilities within the hotel
  • Complete end of shift cash ups and reconciliation procedures and ensure handover of shifts in line with company policy
  • To adhere to all areas of the SOP for reception and front office as well as the appropriate sections of the Finance SOP
  • To be familiar with the day’s business arrivals, departures, functions, VIPs, special requests etc, and inform other departments as required
  • Handle customer feedback or complaints up to the level of authority
  • Build up a local knowledge in order to assist customers
  • Ensure the smooth running of the reception desk at all times including keeping clean and tidy

Candidate Qualifications/Experience:

  • Experience in a similar reception environment is preferable but not essential, as full training will be given in Crerar systems and SOP’s
